Turn a long work thread into a meeting agenda

Paste the thread text and tell the assistant how long the meeting is and who is attending. It can pull out what still needs a decision, who seems to own each item, and how much time each topic might take.

A text to start with

Here is a redacted version of our product thread from this week. The meeting is 45 minutes with five people. Pull out the open decisions, unresolved questions, and any item where ownership is unclear. Suggest a time box for each topic and flag anything that could be handled async instead of in the meeting.

What to check before you send the agenda

Read each agenda item and ask whether it needs a live decision from this group. If it doesn't, move it to an async message. Check the owners against the thread itself. The last person to reply is not always the person accountable for the item. Add up the time boxes and keep the total under the meeting length so there is room for transitions. Anything the thread shows as already decided belongs in a separate decisions section, not on the agenda. Also check that redaction did not remove context the assistant needed to sort items correctly.

Turning the agenda into a running document

Send the agenda at least a day early and ask attendees to flag anything missing. During the meeting, record decisions and owners in a separate column. Afterward, paste the marked-up agenda back in and ask for a clean action list with names and due dates.
