Cancel an unnecessary meeting with a useful update

A cancellation is more useful when it includes what people would have gotten from the meeting. Give the assistant the meeting's purpose, what was decided or what changed, and what attendees should do instead.

A text to start with

The weekly project check-in on Thursday is unnecessary because the timeline decision was made this morning. Draft a cancellation note that explains why the meeting is no longer needed, what was decided and by whom, and what attendees should do next if they have questions or concerns. Keep it to one paragraph and do not ask them to find a new time unless I say so.

What to check before you send

Confirm the decision in the note is accurate and that you are the right person to announce it. If someone else made the decision, name them in the note. The substitute action should be something attendees can actually do. Telling them to stay tuned gives them nothing to act on. If one attendee needs a separate conversation, contact that person directly instead of relying on the group note.

Handling replies

A few people may reply with questions the note did not cover. Keep the note and the decision context handy so you can answer quickly. If several people ask the same thing, send one short follow-up to the whole group.
