Organize a household photo inventory

A claim is a bad time to discover your inventory is a folder of unlabeled photos. Organizing what you have into a consistent format now makes that process faster.

Help me design a simple inventory template for my household contents. I'll photograph each room and note item descriptions, approximate purchase dates and any receipts I have. I want a structure I can fill in myself and keep securely, with a copy stored away from the house. I'll ask my insurer what documentation they require; I only need the organizational format.

What to check in the template

The template should prompt for enough detail to identify each item, usually brand, model, approximate value and purchase date where known. Confirm the fields with your insurer before you fill it in, since a format they accept matters more than a tidy spreadsheet. Keep the finished inventory somewhere other than your home, because a fire or flood could destroy both. The inventory does not decide what your policy covers.

Maintaining the inventory

Fill in one room, then check whether the template captures the details your insurer asks for. Save the photos and receipts with the inventory, and keep a separate copy away from the house. Update your record when you acquire or dispose of a significant item.
