Build a trip budget from the bookings you already have

A useful trip budget separates money already committed from spending you can still change. Start with confirmed amounts and label the estimates.

Organize these travel costs into paid, still due and estimated spending. Include accommodation, transport, meals and activities. Keep the original currencies visible and use an exchange rate I provide. Flag deposits or refundable amounts so I do not count them twice.

What to check in the reply

Reconcile the totals with your confirmations and payment records. A deposit may be part of the room price or a separate temporary hold; check which it is. Keep exchange-rate assumptions explicit and allow for charges your payment provider actually applies. The assistant should not invent an average daily budget and present it as your likely spending without explaining the assumptions.

Set a spending allowance for the categories you can control and update the estimate when you book something. Keep sensitive payment details out of the text. If cash availability or a payment method matters at a destination, check current information with the provider. The budget helps organize decisions; it does not move money.
