A short, accurate brief helps a volunteer start in the right place. Describe the symptom in plain words, give the model and what you already tried, and check what the event accepts before you carry the item there.

Facts only
Keep the brief to what you observed. Check that the symptom is described as it happens, without a guessed cause, and that your actions are listed in order, including anything you opened or replaced. Confirm the model text against the label itself, not memory. Remove any statement implying the item will be repaired, since the volunteers judge that. Check the organizer's published guidance on accepted item types and what to bring, and turn anything you cannot find into a question.
Check this brief for any guessed cause, repair instruction or implied promise that the item can be fixed. Flag vaguely described symptoms, and any action I took that is missing or out of order. Flag any model text I did not confirm against the label.
Confirm and pack
Send the organizer your acceptance questions through their published contact and note the reply. Pack the item with any parts, cables or accessories tied to the fault, and bring the brief. Write down the event date, time and location from the organizer's announcement. After the visit, record what the volunteers told you.
