Ask about captions before a meeting

Caption availability can depend on the platform, the organizer's account plan, and a setting that has to be switched on before the meeting starts. Asking ahead gives the organizer time to check.

Reviewing your captions request

Name the platform in the draft if you know it, since caption support varies. Ask whether captions are available and what the organizer needs to do to switch them on, so they can check without having to guess what you need. Automatic captions can miss names, technical terms, and some accents, and the draft shouldn't suggest otherwise. If you need a transcript, ask for it explicitly, because not every platform saves one by default.

If captions aren't available

A human notetaker or a shared notes document can work as a substitute. If the platform allows third-party caption tools, the organizer may be able to share a link. Get the final arrangement in writing before the meeting so you aren't relying on a verbal promise.
