Out-of-town guests need parking, transit and hotel options in one place. Supply the confirmed venue name, the ceremony date and any lodging the couple has already arranged, so the note covers only what is actually available.

A text to start with
Write a travel note for wedding guests. The ceremony and reception are at Willowbank Estate in [City]. The date is Saturday, September 6. The couple has a room block at the Harrington Hotel, about two miles away. The nearest train station is [Station Name]. A shuttle leaves the hotel for the venue at 3pm and returns at 11pm and midnight. Parking at the venue is free. Use the estate's name only and leave out its street address.
Example request. Change the details to fit your situation.
What to check before sharing
Confirm that the shuttle times fit the ceremony start and that the return runs cover guests who stay late. Get the room block details, including any booking code and cutoff date, from the couple before adding them. If mapping apps can find the venue by name, the street address does not need to appear in a document that guests may forward. Then read the note as someone who has never been to the area would.
Getting the note to guests
Send the draft to the couple for approval before it goes out. If any guests have mobility needs, ask the venue about an accessible entrance or drop-off point and mention it if there is one. Once approved, the note can go on the wedding website or into an email from the couple.
