Close a support ticket with a usable record

A closing note lets a colleague understand the case without reading the whole thread. Record what the customer reported, what was changed, how you checked the result and how to reopen the ticket. Say whether the customer confirmed the outcome or whether you are assuming it.

A text to start with

Help me write a closing note for ticket [ticket number]. The customer reported [original issue]. The actual fix was [what was changed, and by whom]. We verified it by [verification step], and the customer [confirmed / did not respond / other]. Remaining action: [none, or describe]. To reopen, the customer should [reopening route]. Write a brief internal note and a short customer-facing closing message.

Outcome confirmed or assumed

The usual fault is a note that reads as resolved when only a workaround was applied or the customer went quiet. Check that the fix described is the one actually made, not the one first suggested. Keep "our test passed" separate from "the customer says it works". If the customer did not reply, state that and the date you closed the ticket. Give any remaining action a named owner and a date, and confirm the reopening route works for this customer.

Ask another agent to check the result

Read this closing note and decide whether the customer outcome was confirmed or only assumed. Quote any sentence that says "resolved" without evidence from the customer. Compare the fix described with the fix actually applied, and flag any remaining action that has no owner or date.

File it where others will look

Attach the note to the ticket and add search terms a colleague would use, such as the error text or feature name. Link other tickets with the same issue. Have a colleague read the customer-facing message before it goes out through your normal channel. Create any remaining task before closing so it does not disappear.
