Keep a simple record after transferring an item
After an item changes hands, record what it was, when it left, which parts went with it and anything you agreed to do afterward. Then update or close the listing so no one asks about an item that is gone.

Trim details and separate claims
Check the source document for personal details you do not need, such as a buyer's full name, phone number or address. A first name or username is usually enough to match the source document to a conversation. Keep an agreement separate from proof of payment: someone saying they will pay is different from payment arriving, and the source document should say which one happened. Confirm the included-parts list matches what you handed over, and that the listing status says sold, given away or removed accurately.
Review this record and quote any buyer detail I do not need. Check that it separates an agreement from proof of payment, and that the included-parts list and listing status match what happened. Quote every sentence that claims something I have not confirmed.
Close the loop
Update the listing status the same day and remove or edit it so it stops drawing questions. Complete any follow-up you promised and record the date. Keep the source document where you can find it if a question comes later, and delete buyer details you no longer need once the follow-up is done.
