Make a packing checklist for a specific order

Build the checklist from the order record, line by line, before you pull any stock. Each item gets a quantity, any required accessory and a protection note. Extras, such as a free sample, go in a separate section so they are never mistaken for requirements.

A text to start with

Here is order [order reference] as recorded: items [item names], quantities [numbers], required accessories [list], and documents that must go in the parcel [list]. I also plan to add these extras: [extras]. Make a packing checklist with one line per item and quantity, then a separate section for extras. Use only what I listed. Mark anything unclear as [confirm].

Example request. Change the details to fit your situation.

Order packing checklist

Mismatches between order and box

The common errors are a quantity that differs from the order, a variant swapped for a similar one, and an extra counted as part of the order. Check each checklist line against the order record, not against what is sitting on the packing table. Keep required accessories apart from optional ones, because a missing required part is a different problem from a missing gift. Make sure the documents line matches what the order promised. A line with no matching entry in the order record should move to extras or come off.

Ask another agent to check the result

Match every line of this packing checklist to the order record I supplied. List each item or quantity that differs from the order, each extra that appears in the required section, and each required accessory or document in the order that the checklist leaves out. Quote the checklist line and the order entry side by side.

Run the final check at the table

Open the checklist at the packing station and tick each line against the physical items. Resolve every [confirm] before sealing the box. Keep the completed checklist with the order record so you can compare it if the buyer reports a missing part.
