Local service work

Collect the inputs for a day's service route

Before checking a route, gather one row per job: address, the window the customer agreed to, expected task length, any access limits and the best way to reach the customer. Gaps and overlaps show up quickly once those fields sit side by side.

A text to start with

I have [number] jobs on [date]. For each one I'll give you the address, service window, estimated task duration, access constraints such as gate codes or pets, and the customer's preferred contact method: [job details]. I start from [starting point] at [time]. Organize these into a table and point out windows that overlap or leave too little time. Do not invent drive times.

Example request. Change the details to fit your situation.

Service route inputs table

Date: [ ] Starting point and departure time: [ ] Job label: [ ] Address: [ ] Service window: [ ] Estimated task duration: [ ] Access constraint: [ ] Customer contact method: [ ] Drive time from previous stop, checked live on [time]: [ ] Overlaps found: [ ] Jobs missing information: [ ] Repeat the item block as needed.

Overlaps and unverified travel times

Add each task duration to its start time and see whether it runs past the next job's window. Look for two jobs whose windows one person cannot both meet. Mark travel times between addresses as needing a live map check, since an assistant cannot see current traffic or closures. Confirm access notes are complete for every stop, including who must be home. Flag any job missing a window or duration instead of letting it default to a guess.

Ask another agent to check the result

Check this job table for windows that overlap or cannot be reached after the previous task ends. List every travel time that was estimated rather than verified live. Flag any job missing a window, duration or access note. Do not supply drive times of your own.

Verify travel and adjust

Check the drive time between each pair of stops in a live mapping tool at the time you plan to travel, and write the result into the table. Where windows collide, decide which customer to contact about a change and ask through your own channel. Re-sort the day once answers come in, and keep the final order with you.
