Confirm interview logistics before the day

Send the coordinator a short message that restates the details you have and asks about the ones you do not. Include the time with its time zone, the location or video link, the format, who you will meet, and a contact for the day. Mark anything unconfirmed instead of guessing.

A text to start with

I have an interview for [role] at [organization]. The latest message I received says: [paste relevant lines, with date received]. Draft a brief confirmation to [coordinator name] that restates the time with its time zone, the location or link, the format and the names I was given. Ask about anything missing: [missing items]. Details carried over from older messages

An earlier invitation may list a different room, a different time zone or a link that was later replaced. Compare the draft with the most recent message only, and note its date. Check that the time zone is stated, especially if you and the interviewer are in different places. Confirm whether the format is in person, by phone or on video, and whether more than one person will attend. Ask for any link or address you assumed, and for a contact number or email you can reach on the day.

Compare this draft with the most recent message I pasted. Mark each detail as confirmed by that message or unconfirmed. Flag anything that appears to come from an older invitation or an assumption, especially time zone, link and location. Do not supply missing details.

Send, then record the answer

Send the message early enough for the coordinator to reply, and write down the reply when it arrives. Update your worksheet so each item shows its source and date. If a detail is still unconfirmed shortly before the interview, contact the person named on the invitation. Keep the final confirmed details in one place you can open quickly on the day.
