Plan a rotation of member demonstrations
Start from the people who said yes, not from the topics. Match each willing presenter to a topic, a length and a date, list what they need, and name a backup for each session. Every name in the rotation must belong to someone who agreed.

Common problems in a demo rotation
The usual error is writing in a name because the person seems suited. If someone mentioned a topic but never agreed to present, the slot stays open. A yes to a topic is not a yes to every date, so confirm each date with the presenter. Check whether one or two people carry most sessions and spread the load where you can. Every set of materials needs an owner and a decision on who pays. A backup should be a named person or a swap plan, not "to be decided."
Check every presenter named in this rotation against the list of members who volunteered. Flag anyone assigned without a recorded yes, any date not confirmed with the presenter, and any person carrying a disproportionate share of sessions. Do not fill open slots.
Confirm presenters and publish
Ask each presenter to confirm their date, length and materials in their own words, and change the draft only after they do. Fill open slots by asking the club, stating the topic and date. Share the final rotation with all members, with instructions for swapping or withdrawing. After the first two sessions, adjust lengths if they ran over.
