Coordinate a shared family gift

Group gifts stall when no one knows who is contributing or who is holding the money. A draft message and a simple tracker give the organizer a starting point, and any payment happens outside the assistant.

A text to start with

We are organizing a shared gift for my mother's 70th birthday, and six family members might contribute. Draft a message I can send to each of them describing the gift idea, the approximate total cost, and how to tell me if they are in. Include a tracker template with columns for name, amount pledged, and paid status. I will handle the collection myself.

Example request. Change the details to fit your situation.

What to check in the answer

Contributing should read as optional, with no wording that pressures anyone. The tracker is for your own records, so avoid sharing it in a way that shows what each person pledged. The draft should not include payment links, account details, or amounts presented as confirmed. The assistant can suggest an even split, but it cannot know each person's circumstances. Check that the gift description and total in the message are accurate before you send anything.

Where to go from here

Send the message with a reply-by date. Keep the tracker to yourself and follow up privately with anyone who has not answered. Once you know who is in, work out the per-person amount for the confirmed group and send it before anyone transfers money.
